Based in Dallas, the Copy Center/Catering Assistant is an integral part of the client and guest experience.  This position is responsible for quality assurance and creating a professional and comfortable atmosphere in conference rooms, pantries and office café spaces.

This role reports to the Office Services Manager.

 

Responsibilities include:

Copy Center

  • Copying, binding, and cutting.
  • Batch printing emails and their attachments.
  • High volume blowbacks/batch printing.
  • Scanning documents using eCopy.
  • Inputting costs into our electronic billing log (Excel spreadsheet) for services rendered.
  • Creating and printing labels.
  • Some Mailroom responsibilities, including sorting, delivering, and shipping mail/packages.

Catering

  • Scheduling and preparation of conference rooms for meetings and/or special events, ordering refreshments and/or meals, and replenishing beverage service during meetings.
  • Ordering meals for all meetings, stocking, maintaining and cleaning the employee lunchroom and satellite coffee rooms.
  • Assisting with cleaning conference rooms after meetings, stocking conference room credenzas and other storage areas with office supplies.
  • Arranging set-up and audio-visual equipment as required
  • Assisting in the preparation of handouts and other materials for meetings.
  • Providing backup coverage at the Reception Desk during scheduled breaks, lunches, and as needed.

Qualifications

  • Must be able to maintain workflow and quality assurance.
  • Must demonstrate excellent customer service and communication skills, including the ability to understand and respond to customer needs and requests.
  • Have technical knowledge to maintain and troubleshoot equipment within the departments.
  • Ability to organize and juggle multiple tasks to meet various clients’ deadlines.
  • Must be able to manage time well and find enjoyment in working in a fast-paced quality-oriented team environment.
  • Must be able to spend extended periods of time standing while performing duties and lift a maximum of 30 lbs.
  • Exhibit good telephone demeanor and excellent grammar, punctuation, and spelling skills.
  • Ability to work overtime as necessary.

Experience

  • High School diploma or equivalent.
  • Copy and computer related experience, preferably from a busy law firm or legal environment.
  • Prior experience in customer service environment.
  • Proficient in Microsoft Office.
  • Knowledge of Law 5.0 or similar batch printing software is a plus.
  • Experience with VHS Conversion.
  • Experience with OCR and PDF Conversion.

Compensation & Benefits:

The annual compensation range for this position is $48-55k. The salary offered within this range will depend upon qualifications and other operational considerations.
