Based in London, the Email and Collaboration Engineer will work within the IS messaging team to support the firm’s email systems, mobile and collaboration tools. This role requires a strategic thinker with expertise in managing email platforms, collaboration software, and improving organizational communication.

This Email and Collaboration Engineer will report to the Director, IS Operations. This role will work closely with IS, HR, and other departments to ensure effective use of communication tools, provide user support, and implement best practices.

Responsibilities include:

Email System Management

  • Provide administration, configuration, and maintenance of the company’s email systems (e.g., Microsoft Exchange and M365).
  • Ensure email system security, reliability, and performance.
  • Monitor email system usage and implement policies to optimize performance and prevent misuse.
  • Manage email accounts, distribution lists, and group policies.
  • Coordinate with IT to troubleshoot and resolve email-related issues.
  • Implement spam filtering and email archiving solutions.
  • Assist and maintain the firm’s mobile device management systems (MobileIron and Intune).

Collaboration Tools Management

  • Ensure that collaboration tools (iManage, MS Teams, Google Workspace) are integrated seamlessly with other business systems.
  • Develop and maintain usage guidelines and best practices for collaboration tools.

Security and Compliance

  • Ensure that email and collaboration systems comply with company policies and regulatory requirements.
  • Implement security measures to protect sensitive information and prevent data breaches.
  • Monitor system usage for potential security threats and respond to incidents promptly.
  • Work with the IT security team to conduct regular security audits and risk assessments.

Qualifications

  • Strong problem-solving skills and the ability to troubleshoot technical issues effectively.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Experience in providing user support and training.
  • Project management skills and the ability to manage multiple tasks simultaneously.
  • Excellent understanding of IT security practices and data protection regulations.

Experience

  • University degree in Information Technology, Computer Science, Business Administration, or a related field.
  • Proven experience in managing email and collaboration systems, preferably in a corporate environment.
  • Strong knowledge of email platforms (e.g., Microsoft Exchange, Intune, Google Workspace) and collaboration tools (e.g., Microsoft Teams, Zoom).
  • Certification in relevant technologies (e.g., Microsoft Certified: Messaging Administrator, Google Workspace Administrator) is a plus.
