Based in New York, the Legal Administrative Services Coordinator will be responsible for the day-to-day coordination of the workflow of all Legal Assistants and ensuring the team delivers high-quality service so that attorney and client needs are met promptly and effectively.

The Legal Administrative Services Coordinator will work closely with the Legal Assistants, Legal Administrative Services Manager and Director of Administration to positively implement change, navigate new ways of working and develop efficiencies as required by the business

This role reports to the local Legal Administrative Services Manager.

Responsibilities include:

  • Coordinating the Legal Assistant schedule and ensure appropriate in-office coverage by arranging back-up coverage for planned and unexpected secretary absences.
  • Providing recommendations and proposes strategies to respond to staffing challenges and high absence periods.
  • Continuously monitoring, evaluating, and analysing overall workflow and the workload of team members individually to ensure an even distribution among the team and ensure that deadlines are met.
  • Working closely with the Legal Administrative Services Manager to deliver ad hoc projects, analysing existing ways of working, improving service delivery, and developing and implementing new systems and processes.
  • Supporting the skills development of team members by identifying training opportunities, providing information and coordinating training from technical trainers and other resources.
  • Working with the Legal Administrative Services Manager to develop new hire onboarding schedules, supervise integration process and participate in recruiting, orientation and mentoring.
  • Providing feedback to Legal Administrative Services Manager and Directors of Administration regarding individual performance of Legal Assistants.
  • Coordinating and leading team meetings, promoting team engagement with support of the Legal Administrative Services Manager.
  • Acting as coordinator and member of the team, balancing managing workflow with providing Legal Executive Assistant-level support to attorneys and assisting team with administrative tasks.
  • Developing a mastery of the Firm’s processes and departments, and proficiency in the Firm’s software applications.
  • Providing orientation and support overview to new attorneys and reinforce protocols on an ongoing basis.
  • Ability to work overtime as necessary

Experience

  • 5+ years of legal secretarial experience in a law firm or professional services environment, performing complex administrative tasks and projects.
  • Previous coordinator, leadership or supervisory experience of a secretarial team in a law firm or professional services environment.

Compensation & Benefits:

The annual compensation range for this position is $100-120k. The salary offered within this range will depend upon qualifications and other operational considerations.
