Manager, Conference Center, Reception, and Flexible Workspace Program

Based in New York, This role is responsible for the smooth operation of our conference center and reception area, as well as all the workspaces in our Flexible Workspaces Program. This role ensures a welcoming and professional environment for all visitors and manages all aspects of the facility of these areas. The successful candidate will have prior supervisory experience of these important, client-facing roles at a firm with volumes like Gibson’s New York.
This role reports to the Director of Administration.
Responsibilities include:
- Reception Management – Oversee and manage the receptionists (and backup when needed), ensuring a welcoming and professional first impression for all visitors in the Reception area, and responding to the high-volume of inquiries to the Firm’s Reception email box and phone lines.
- Flexible Workspace Program – Oversee and manage the team (and backup when needed) who are allocating offices and workstations in the Flexible Workspaces program, as well as the overall assignment process and space standards. Ensure Flexible Workspaces are clean, organized, and well-maintained, including restocking of supplies to specified standards.
- Conference Center Management – Oversee and manage the team (and backup when needed) who is managing all aspects of conference room usage. Ensure Conference Center is clean, organized, and well-maintained, including restocking of supplies and resetting spaces to specified standards.
- Staff Management – Train, schedule, and manage Reception, Conference Center, and Flexible Workspace staff.
- Communication – Communicate effectively with clients, staff, and other departments to ensure smooth operations.
- Client Relations – Build and maintain strong relationships with clients, understanding their needs and ensuring their satisfaction.
Qualifications
- Effective interpersonal and communication skills (written and verbal) to interact with all levels of employees and external contacts.
- Strong organizational skills with ability to prioritize multiple tasks and projects while meeting deadlines in a fast-paced environment.
- Exceptional attention to detail, including strong proofreading skills.
- Sound judgement and ability to exhibit independent thinking, creativity and resourcefulness.
- Ability to take direction and follow instructions without close monitoring and follow up.
Experience
- University degree.
- Minimum of five years’ experience working in a similar facilities position in a law firm or similar professional services organization.
- Demonstrated high level of proficiency in various database and software management systems, including Microsoft Word, Excel, Outlook, PowerPoint and Adobe.

Compensation & Benefits:
The annual compensation range for this position is $140-165k. The salary offered within this range will depend upon qualifications and other operational considerations.
